The executive sponsor’s job

  • Confirm the assigned contribution fits the organization’s expertise.
  • Nominate a practitioner who can explain decisions clearly and engage peers.
  • Protect the problem-led format; limit company overview to one sentence.
  • Approve one useful visual, one credible example, and one practical recommendation.
  • Ensure claims are supportable and sensitive client information is cleared.
  • Join the final 30-minute briefing if the speaker or producer requests it.

Approval checklist

  • The contribution answers the assigned question.
  • It fits in 12 minutes without rushing.
  • It includes no more than one brief company-introduction slide.
  • The example is relevant to municipal or infrastructure work.
  • The visual is legible on a laptop screen.
  • The recommendation is practical, proportionate, and honest about limits.
  • The speaker can discuss dependencies and tradeoffs in the roundtable.

Boundaries

Do not use a standard sales deck. Do not attempt a full platform tour. Avoid unexplained acronyms, unsupported savings claims, competitor comparisons, and implying that uncertainty can be eliminated. Never disclose confidential or identifying client information without permission.

Technical standards: 16:9 slides, minimum 24-point body text, high-contrast visuals, minimal animation, alt text or a spoken description for essential visuals, a quality microphone, front lighting, and a PDF backup plus a static image for any live demonstration.
